Power Automate

Save time and reduce errors by automating repetitive tasks with Power Automate.

Copying and pasting information, sending manual emails, updating spreadsheets, or approving documents are tasks that consume time and energy and could be automated. These daily repetitions, in addition to causing human errors, take the focus away from more strategic activities.

The good news is that Microsoft Power Automate allows you to automate these routines in a simple and intuitive way, even without advanced programming knowledge.

In this article, you will learn what it is, see practical examples, and find out how to create your first automation in just a few minutes.

What is

Power Automate?

Power Automate is a Microsoft Power Platform tool that allows you to create automated flows between applications and services such as Outlook, SharePoint, Teams, OneDrive, and hundreds of external integrations.

These flows can be executed automatically based on events, for example: when an email arrives, when a file is created, or at specific times. With it, you can send notifications, move files, collect information, request approvals, and much more.

Why use Power Automate?

  • 💡 Visual and intuitive interface, no code required.
  • 🔗 Native integration with Microsoft 365.
  • 🕒 Reduction of errors and time savings.
  • 📈 Increased productivity and process standardization.
Simple

Examples of automations you can create today with Power Automate.

1. Automatically save email attachments.

  • Trigger: When an email with an attachment arrives.
  • Action: Save the attachment to a specific folder.

2. Notify Teams when an important email arrives.

  • Trigger: High priority email received.
  • Action: Send a message in the Teams channel.

3. Create calendar events from form responses.

  • Trigger: Response sent by Microsoft Forms.
  • Action: Create event in Outlook.

4. Document approval flow.

  • Trigger: New item added to a SharePoint list.
  • Action: Start approval and send the result to the requester.

5. Automatic daily summary by email.

  • Trigger: Daily schedule.
  • Action: Gather data and send an automatic report.

Getting started in practice...

Step-by-step guide to creating your first automation in Power Automate
Estimated time: 10 to 25 minutes

Access Power Automate

Go to flow.microsoft.com and sign in with your Microsoft 365 account.

In the “Create” tab, choose one of the options:

  • Automated flow: starts with a trigger, such as “When an email arrives.”
  • Instant flow: runs manually.
  • Scheduled flow: runs at specific times.

💡 Tip: Use a pre-built template to learn how to do things like “Save email attachments to OneDrive.”

Set up the trigger

Example: “When a new email arrives (V3)” → define inbox, folder, and filters (sender, subject, attachments, etc.).

Add actions

Click “+ New step” search for the connector (OneDrive, Teams, Outlook, SharePoint, etc.) and select the desired action, such as “Create file” or “Send message.”

Use dynamic trigger content, for example:

📎 Attachment content → File content.

Add conditions (optional)

Use the “Condition” action to set rules: “If the email subject contains ‘Invoice’ → save to the Financial folder; otherwise → save to General.”

Test and validate the flow

Click “Save"“Test” → perform the action that triggers the flow (such as sending an email). Check that everything worked correctly.

Monitor and correct

Go to “My Flows” Run History to track, review inputs/outputs, and correct errors if necessary.

Best practices for efficient automation with Power Automate

  • Start with simple, high-impact tasks.
  • Use clear names and document your flows.
  • Add error handling, such as sending alerts when something fails.
  • Avoid creating redundant automations.
  • Monitor performance and the number of executions.
  • Comply with your organization’s security policies.

Common Questions About Power Automate:

Do I need to be a developer to use Power Automate?

No! The tool was created specifically for business users.

The environment is entirely visual and based on logical blocks.

Is Power Automate free?

There is a free version with limited features. For premium connectors and higher execution volumes, additional Microsoft 365 licensing is required.
